Position Summary

Key responsibilities
Project Management
Assists with a variety of ongoing and special projects. Interfaces with BA departments and works to ensure quality control within key departments.
On behalf of the CEO, works on multiple projects including planning, implementing and collaborating with department managers, vendors and staff
Provides appropriate and cost-beneficial management of the BA’s physical assets in addition to overseeing small capital projects and all furniture, artwork, in-kind donations and books
Creates tracking and reporting tools; Maintains reports of ongoing project status, milestones and results
Prioritizes and follows-up consistently to ensure projects are on-track and necessary information and materials are available according to schedule and budget
Undertakes and completes ad-hoc tasks and projects as assigned
Compliance
You’ll perform research and complete tasks on a variety of compliance issues, including OSHA, HIPAA, Medicare (QAPI & Emergency Preparedness) Life Safety, DoT, etc.
Maintain Master Compliance Overview
Research, review, organize and track compliance requirements by program to keep our CEO up-to-date
Maintain annual and monthly calendar by program to advise and confirm department compliance
Monitors and ensures deadlines are met
Qualifications:
Proven organizational skillset including sound judgement, flexibility and attention to detail
Must be able to supervise, prioritize and adapt to changing priorities as needed
Strong analytical, research, and communication skills, both verbal and written
Demonstrated planning, multi-tasking, and problem-solving skills
Must be operationally oriented and able to track projects and develop action-item lists

This position assists the Manager in overseeing all housing, rooms, and apartments in the Original Building and Carriage House.
Your work will encompass activities that relate to The Residences at 910, Rest & Study guests, and Associate Housing. You’ll also act in the place of the Residential and Guest Services Manager, when he/she is not on duty.
This position reports to and works collaboratively with the Residential & Guest Services Manager. Has regular contact with residents, guests and associates, activities coordinator, van driver, leasing agent, facilities, reception, volunteer coordinator, kitchen staff, and housekeeping staff.
Ensures rooms are ready for guests, residents, and staff associates before they arrive, keeping in touch with Housekeeping and the Front Desk as necessary. Follows up on departures.
May be asked to assist with coordinating the move-ins/outs or room/apartment changes of guests, residents, or associates.
Assists department manager with inspecting and documenting repairs and cleanliness of rooms/apartments to ensure optimum upkeep and repair, room cleanliness and overall building appearance of the Original Building and Carriage House. Keeps manager advised of items needing attention.
May be asked to support the duties of renting/leasing of rooms/apartments for long and short-term occupancy and be appraised of and able to accurately communicate BA policies for residents, associates, and guests.
Is back-up to part-time Activities Coordinator. This may include for example, planning and executing anniversary parties, events, gatherings, driving a van (active driver’s license and good driving record required).
Is thoughtful and supportive about enabling the residents at 910 to be and remain independent, and discusses various options or recommended steps with department manager.
Responds to various requests. This could be giving a tour of the BA to an inquiring visitor, running an errand, helping a resident move their TV, set up their computer, showing a new associate how to use a washing machine, etc., and other duties that arise.
Prepares handouts and communications for residents, guests, and associates as needed.
May be asked to attend meetings for residents, and associates to keep apprised information shared with them.
Performs other duties as assigned.
QUALIFICATIONS AND SKILLS REQUIRED
Must be a member of The First Church of Christ, Scientist, in Boston, Massachusetts, and a practicing Christian Scientist. Class Instruction by an authorized teacher of Christian Science is required. Metaphysically supports the BA’s services and programs on a daily basis.
Prior work with guests and seniors in a residential setting or Customer Service arena is preferred. Must be patient, flexible, have a gracious manner, be adept with “people skills,” and able to maintain a high ethical standard of confidentiality. Problem solving, a good customer service demeanor, ability to multi-task, and a willingness to do anything that might be necessary, is required. Must have flexibility with scheduling with a 24/7 operation and willingness to work weekends as needed.
Computer skills to include solid grounding in Word docs and Excel. Must have the ability and willingness to embrace new software, ie. Room Master, WorxHub, and assist with the electronic organizing of documents and files.
Physical requirements include: Above-average agility and dexterity; and long periods of walking, standing, bending, or carrying moderately heavy items as well as ability to navigate stairs.

Job Overview and Responsibilities
Reports to and coordinates with the Manager of Residential and Guest Services (or Assistant Manager in his/her absence) and incorporates feedback from the residents living at The Residences at 910, in developing and implementing group programs and activities. Spiritual alertness and metaphysical preparation essential.
Plans and organizes outside and in-house activities for residents (i.e. local trips to museums, restaurants, sight- seeing, videos, staged readings, guest speakers, Christian Science lectures, etc.)
Responsible for communication and follow-through regarding these activities and makes necessary arrangements, including (but not limited to) reservations, transportation, tour guides, and payments as required.
Works/coordinates with Volunteer Coordinator as needed.
Creates daily and weekly activities announcements. Ensures weekly and monthly schedules are clearly communicated to residents. Places announcements in the current locations chosen to convey this information.
Responds to resident requests and arranges individual outside appointments and transportation.
If possible, serves as one of the back up or additional drivers as needed.
Works as part of the Resident and Guest Services team and looks for ways to support team members.
Works flexible hours to help meet the 7 day a week needs of the Residents.
Performs other duties as required.
Qualifications and Requirements
Has a sense of service in one’s heart and has a demonstrable knowledge of Christian Science practice
Experience with planning and operating an activities program in an organization is desirable
Easily expresses qualities such as being imaginative, resourceful, patient, expressing wisdom, caring, flexibility, willingness to listen, and genuine interest in learning about another’s interests
Good communication and computer skills are essential
Ability to be flexible in working schedule. Weekend availability required and some early evening preferred hours preferable
